Does this replace our paper pre-start books?

Yes. Drivers complete an NHVR-style daily inspection on their phone — pass/fail/N.A. per item, photos of faults, fit-for-duty declaration, and an unroadworthy stop that grounds the vehicle. Records are archived permanently and export to CSV for audits.

What's the difference between Fleet, Trade, Office and Workshop?

Fleet, Office & Trade is for running your own vehicles: driver pre-starts, defects, rego and COI dates, driver licence and medical tracking. Workshop is for servicing other people's vehicles: job cards, parts, estimates, invoices and the customer portal. They're separate products, each with unlimited users and simple flat pricing — buy the one that matches your business, or run them together on one login and switch sides in a click.

What is MechTrack+W, and is it just a setting?

No — it's a separate product with its own codebase, built for auto wreckers and dismantlers. It follows a yard's pipeline: buy the car and print the receipt, keep the buy-record your licence asks for, dismantle into parts that stay linked to the donor, then sell parts, whole cars or a container. It doesn't carry trucks, pre-starts or driver compliance, because a wrecking yard doesn't run a fleet — and it doesn't carry workshop job cards, service sheets or customer service bookings either. Quoting, GST invoicing, Xero and parts inventory are built in at $199/mo, so none of those are add-ons. The one thing you can add is extra vehicle spaces, if your yard grows past the 200 included. If you both wreck and service customer cars, they are two different products — talk to us.

What does "up to 200 vehicles" actually mean on MechTrack+W?

It's how many cars are on your ground at once, not how many you've bought over the years. A car takes a space when you buy it in and gives the space back the moment you mark it disposed or sold — so a yard holding 180 cars and turning over 400 a year never runs out. Your history is not what's limited: every buy-in record, seller ID, PPSR check and depollution record stays complete and exportable for as long as you're with us, because those are records you're required to keep and we're not in the business of making that harder. If you do hit 200, the car still goes in — we will never refuse a vehicle at your gate over a subscription line. To make room, mark Disposed anything that has already left your yard; every one of those hands its space straight back for free. If the yard has genuinely grown, add extra vehicle spaces, or call us about an expansion deal.

Does the parts catalogue tell us what else a part fits?

No, and we won't pretend otherwise. It's a naming aid — 19 makes, 61 models and 52 part types picked for the Australian market, so the same part gets the same stock name every time and buyers can find it. It answers "what is this called", not "what else does this fit". Interchange is a different product and we don't sell one.

Can buyers pay through the parts store?

No — by design. Buyers search, build a list and send an enquiry; you ring back and confirm. There's no payment gateway, which means no card data on your site, no PCI scope and no chargebacks. The store is closed by default on a new install and you opt each part in.

Can our customers approve a quote without ringing us?

Yes. Send the estimate by email or SMS and they tap Accept, Request changes, or Decline on their phone. You're emailed the moment they respond and their note is readable in the quote record. Edit a quote they've already seen and it becomes v2 — the old version is kept, and the same link always shows the latest.

Can we hide buy prices from the workshop floor?

Yes — one tick makes cost prices and markup visible to managers and admins only. It's enforced in the data, not just hidden on screen, so staff still see stock levels and sell prices and can still write estimates. They just can't see what you paid.

Our drivers shouldn't be deciding if a truck is unroadworthy.

Then untick that option. Drivers still record every failed item, fault and photo, and management is still emailed immediately — but the roadworthiness call and the "unroadworthy" fault rating move to your mechanics. It's on by default; you choose.

Do we pay per driver or per user?

No. Every plan includes unlimited users — drivers, mechanics, managers, admin. You pay for the system, banded only by how many vehicles you run.

Where is our data stored?

It's your data — you own it and can export it any time, and safety records are never deleted because they're legal records. Where we host, data is held in Australia and a small number of other countries by our infrastructure providers; we'll tell you exactly which if you ask, and a business needing specific data-location commitments can agree them with us in writing. Prefer to hold it yourself? MechTrack can run on your own hosting.

What do we need to install?

Nothing. MechTrack runs in any browser, and drivers can add it to their phone's home screen like an app — no app store, no updates to chase.

Is there a contract?

Monthly plans have no lock-in — cancel any time. Annual plans are 12 months for the price of 10. The once-off $350 onboarding covers importing your fleet and training your people.

Who backs up our data?

We take daily server backups as standard. On top of that, either keep your own quarterly copy (free — we email a one-minute reminder every 90 days), or add Managed Backup ($15/mo ex GST) and we keep daily off-site copies for you, restore on request, reminders off.
