Stop chasing rego, pre-starts and licences — MechTrack does it for you. Australian-built · unlimited users · no lock-in.

Get the one that fits or ask us to customise it just for you!
Pre-start books that never make it back to the office, faults scribbled and forgotten, and nothing to show the auditor when the NHVR comes asking.
A lapsed registration or missed COI grounds a truck, kills a day's earnings, and turns into fines — all because the date lived in someone's head.
Inspection apps that bill for every driver, every month. Fifteen drivers shouldn't cost more than the truck's servicing.
MechTrack FleetTrucks, trailers, forklifts and utes. Drivers inspect on their phones, faults become work orders, and every compliance date chases you instead of the other way round.

An NHVR-style checklist your drivers finish in minutes — pass / fail / N.A. per item, fault photos, and a fit-for-duty declaration. Runs in any browser and installs to the home screen like an app. No app store, nothing to update.
Run the vehicle types you actually have. Trailers get their own pre-start and no odometer. Forklifts run on hour meters with their own checklist. Light vehicles get a service-record template, not a safety certificate. Switch a type off and its buttons disappear.
A failed item becomes a fault, and a fault becomes a work record in one tap — photos carried across, repair notes required before anything is marked fixed. The chain from the yard to the record never breaks.
Every vehicle carries its compliance dates. Alerts fire two months before COI, two weeks before rego and 1,000 km before service — emailed before they can bite. A morning digest tells you what passed, what is grounded, and what has not been inspected yet.
Licence number, class, expiry and medical due date for every driver, loaded by the driver from their own profile and verified by a manager against the originals. Expiring items are flagged so you chase them before they lapse.
By default a driver can declare a vehicle unroadworthy and ground it on the spot. Prefer your mechanics to make that call? Untick one box: drivers still record every failure, fault and photo, and management is still emailed immediately — the judgement moves to the workshop.
Defect registers, per-driver histories, unfit-driver records and defect notices — filtered, printed on your letterhead, exported to CSV. Records older than 90 days move to a searchable archive instead of cluttering the working list. Nothing is ever deleted.
MechTrack TradeUtes, vans, machinery and equipment, staff out on jobs all day. Everything your run needs — kept legal, booked in, the job sent straight to a phone, and the customer kept in the loop by SMS — without the heavy-fleet clutter.
Your whole run in a single register — vehicles and the gear on them, with service history, rego and inspection dates against each one. No more guessing which ute is due for what.
Reminders before anything lapses, so a ute never gets pulled over unregistered or a service slips through when you're flat out on the tools.
A quick daily vehicle check the driver taps through before they roll — tyres, lights, damage — logged against the ute, not scribbled on paper that never comes back.
Driver licences and expiries in one view, so you know everyone behind the wheel of a company vehicle is current — before it's a problem, not after.
Push the next job or pickup straight to whoever's closest — they tap it and they're on the way. No radio calls, no re-explaining the address twice.
Drivers mark travel start and end, so every job carries a clean record of who went where and when — the trail behind your run sheets and your hours.
Not just utes and vans — the machinery and equipment your crew runs sits in the same register, with the same service and inspection dates tracked against it.
Book the work in, see what's on when, and send it to whoever's closest — the diary and the crew stay in step.
Text the customer when the crew's booked in and on the way, so nobody's left waiting by the phone wondering where you are.
MechTrack WorkshopBook the job in, raise the job card on the bench, get the estimate approved on the customer's phone, keep them in the loop by SMS, and invoice in Xero — one chain, no retyping, and stock that always adds up. Not just vehicles — any asset you service.
Open a job card against a vehicle, a machine or a piece of equipment, and request parts straight off your shelf. Draw parts posts the stock movement and locks those lines — a card with drawn stock cannot be deleted. Job numbers auto-generate in your existing 6-digit format, and you can still type a legacy number.
A clean, familiar estimate layout with PO number and terms. Buy price and markup are internal only — the customer sees the sell price, never what you paid. Parts remember their pricing, so the next estimate is already right.
Send the estimate by email or SMS and your customer taps Accept, Request changes or Decline on their phone. You are emailed the moment they respond, their note is readable in the quote record, and nothing sits in an inbox waiting for a call back.
Edit a quote the customer has already seen and it becomes v2 — the old version is snapshotted, the status returns to draft until you re-send, and the same link always shows the latest. Full version history on the quote list.
An accepted quote becomes a GST invoice in one tap — the figure quoted is the figure invoiced. PDF emailed to the customer, synced to Xero. Stock already drawn on the job card is not deducted twice.
A catalog with live stock on hand, whole-number counts, litres for liquids, supplier on every part, and a ledger behind every movement. Invoicing a part moves stock automatically. Low stock highlights before the shelf is empty.
Stock valuation at cost and at sell — the figure your accountant asks for. Usage & dead stock straight off the ledger. Parts margin from real invoice lines. Reorder by supplier, ready to read down the phone. Every one exports to CSV.
Tick one box and buy prices and markup become manager and admin only — enforced in the data, not just hidden on screen. Your staff still see stock, sell prices and can still write estimates.
Your customers see their vehicles and equipment, request a service in under a minute, and read a branded service-history document you email in one click — the paperwork that wins repeat work.
Book work in, see what's on when, and turn a booking into a job card the moment the asset lands on the bench — the diary and the workshop floor stay in step.
Text the customer when they're booked, when the job's ready and when it's done — so the phone stops ringing with “is it ready yet?” and nobody's left wondering.
Set the next service or inspection when a job closes, and MechTrack reminds the customer by SMS when it's due — repeat work without chasing.
MechTrack OfficePool and staff cars, the assets and equipment your team uses, the documents and renewals you have to keep, and the rooms and resources they book — the whole office side of the business in one place.
Book a pool car out to a person for a day, a week or ongoing, and see the whole pool at a glance — what's out, what's free, and who has it.
The gear that isn't a vehicle — laptops, tools, plant, IT — tracked in the same place as the cars, so you know what you own and who has it.
Every renewal across the pool — rego, insurance, service and driver licences — tracked with reminders before anything lapses.
Store the documents the office has to keep — policies, insurances, certificates — and track what's due, so a renewal never slips.
Book the rooms, resources and shared items your team uses — not just cars — and see what's free at a glance.
Drivers log travel start and end, and that becomes the FBT logbook your accountant asks for at year end — exported per vehicle, no shoebox of slips.
MechTrack+WA separate product, not a mode — built around the pipeline a yard actually runs: buy the car, record what the law asks you to record, pull it apart, sell the pieces. Nothing about trucks or pre-starts to click past.
Make, model, year, VIN, rego, odometer, what you paid and who you bought it from — a saved contact or a one-off seller. Out comes a purchase receipt on your letterhead, carrying your motor dealer licence number, a “sold as is, unregistered” statement and signature lines.
Against every purchase: seller ID type, number, issuing state and a sighted tick; PPSR certificate number, date and result; written-off vehicle status and whether the regulator was notified; whether a Notice of Disposal was needed and lodged; and a depollution checklist — battery, fluids, tyres, refrigerant — with who did it and when. A vehicle with gaps shows a ⚠ in the list. It is a reminder, never a block: the yard keeps working.
Because the record is a transactions register — the evidence is which ID was sighted, for which purchase, on which day. Edit a contact and you can never silently rewrite the history of past buys. A customer’s profile still shows a read-only roll-up of every vehicle bought from them and the ID recorded each time.
Every part remembers the donor it came off, so traceability survives from the buy-in all the way to the sale. Photos on parts, uploaded in bulk and matched by SKU.
19 makes, 61 models, 52 part types, picked for what actually sells here. It offers the right list for the body — a ute is offered a tub and a bull bar, a sedan a boot lid — and writes a consistent stock name like “2016 Hyundai Tucson Front Door LH”. It is a naming aid, not an interchange database: it answers what a part is called, never what else it fits.
Quotes and invoices with GST and Xero sync, plus a margin-scheme option for whole-vehicle sales. Export containers with loading lists and container documents for the overseas trade.
A public storefront buyers search by part or by the car it came off — GST-inclusive prices, photos, live availability. Buyers build a list and send an enquiry; you ring back and confirm. It takes no payment by design: no gateway, no card data, no chargebacks. Closed by default on a new install, and opt-in part by part.
Rego, insurance, dealer plates and licences, tracked with the dates in front of you instead of in someone’s head.
Every printable document shows you a preview first, and the same renderer feeds the preview, the printer, the PDF and the emailed copy — so what the customer receives is what you saw.
MechTrack+W records the information a motor industry trader is generally expected to keep. What your licence actually requires differs by state and changes — check your own obligations with your regulator. We are not lawyers, and the software is a record-keeping tool, not compliance advice.
Per-seat inspection apps charge for every driver, every month — a 12-driver fleet can pay $300+ monthly for pre-starts alone. MechTrack charges for the system, not the people using it. Put every driver, mechanic and manager on it. The price doesn't move.
And we publish our prices. No "book a demo to find out."
Everything to keep vehicles moving, crews compliant and jobs flowing — and we run it for you.
Vehicle & equipment fleet management — trucks, trailers, forklifts and plant, all in one place.
Insurance, NHVAS, licences, rego & pre-starts — with alerts before anything lapses.
Integrated team messaging — send a notice, get replies, keep everyone on the same page.
Push jobs and pickups straight to a driver's phone — they tap, they're on the way.
We host it, back it up and keep it running. Nothing to install — you just use it.

Yes. Drivers complete an NHVR-style daily inspection on their phone — pass/fail/N.A. per item, photos of faults, fit-for-duty declaration, and an unroadworthy stop that grounds the vehicle. Records are archived permanently and export to CSV for audits.
Fleet, Office & Trade is for running your own vehicles: driver pre-starts, defects, rego and COI dates, driver licence and medical tracking. Workshop is for servicing other people's vehicles: job cards, parts, estimates, invoices and the customer portal. They're separate products, each with unlimited users and simple flat pricing — buy the one that matches your business, or run them together on one login and switch sides in a click.
No — it's a separate product with its own codebase, built for auto wreckers and dismantlers. It follows a yard's pipeline: buy the car and print the receipt, keep the buy-record your licence asks for, dismantle into parts that stay linked to the donor, then sell parts, whole cars or a container. It doesn't carry trucks, pre-starts or driver compliance, because a wrecking yard doesn't run a fleet — and it doesn't carry workshop job cards, service sheets or customer service bookings either. Quoting, GST invoicing, Xero and parts inventory are built in at $199/mo, so none of those are add-ons. The one thing you can add is extra vehicle spaces, if your yard grows past the 200 included. If you both wreck and service customer cars, they are two different products — talk to us.
It's how many cars are on your ground at once, not how many you've bought over the years. A car takes a space when you buy it in and gives the space back the moment you mark it disposed or sold — so a yard holding 180 cars and turning over 400 a year never runs out. Your history is not what's limited: every buy-in record, seller ID, PPSR check and depollution record stays complete and exportable for as long as you're with us, because those are records you're required to keep and we're not in the business of making that harder. If you do hit 200, the car still goes in — we will never refuse a vehicle at your gate over a subscription line. To make room, mark Disposed anything that has already left your yard; every one of those hands its space straight back for free. If the yard has genuinely grown, add extra vehicle spaces, or call us about an expansion deal.
No, and we won't pretend otherwise. It's a naming aid — 19 makes, 61 models and 52 part types picked for the Australian market, so the same part gets the same stock name every time and buyers can find it. It answers "what is this called", not "what else does this fit". Interchange is a different product and we don't sell one.
No — by design. Buyers search, build a list and send an enquiry; you ring back and confirm. There's no payment gateway, which means no card data on your site, no PCI scope and no chargebacks. The store is closed by default on a new install and you opt each part in.
Yes. Send the estimate by email or SMS and they tap Accept, Request changes, or Decline on their phone. You're emailed the moment they respond and their note is readable in the quote record. Edit a quote they've already seen and it becomes v2 — the old version is kept, and the same link always shows the latest.
Yes — one tick makes cost prices and markup visible to managers and admins only. It's enforced in the data, not just hidden on screen, so staff still see stock levels and sell prices and can still write estimates. They just can't see what you paid.
Then untick that option. Drivers still record every failed item, fault and photo, and management is still emailed immediately — but the roadworthiness call and the "unroadworthy" fault rating move to your mechanics. It's on by default; you choose.
No. Every plan includes unlimited users — drivers, mechanics, managers, admin. You pay for the system, banded only by how many vehicles you run.
It's your data — you own it and can export it any time, and safety records are never deleted because they're legal records. Where we host, data is held in Australia and a small number of other countries by our infrastructure providers; we'll tell you exactly which if you ask, and a business needing specific data-location commitments can agree them with us in writing. Prefer to hold it yourself? MechTrack can run on your own hosting.
Nothing. MechTrack runs in any browser, and drivers can add it to their phone's home screen like an app — no app store, no updates to chase.
Monthly plans have no lock-in — cancel any time. Annual plans are 12 months for the price of 10. The once-off $350 onboarding covers importing your fleet and training your people.
We take daily server backups as standard. On top of that, either keep your own quarterly copy (free — we email a one-minute reminder every 90 days), or add Managed Backup ($15/mo ex GST) and we keep daily off-site copies for you, restore on request, reminders off.
Yes — explore the features by product, then request a live demo login. We'll set you up in the product you're after and walk you through a full working system — no obligation.
Print-ready A5 PDFs — download the one you're interested in, print it, or send it to whoever signs off. No sign-up needed.
Onboarding takes one session. For Fleet we import your vehicles, compliance dates and drivers, and your first pre-starts happen the next morning. For Workshop we bring across your customers and your parts, and your first estimate goes out the same day. For a wrecking yard, ask us for a walkthrough of the demo yard — a full working system on a fictional business.
Real people, Brisbane-based — talk to the team that builds MechTrack, not a call centre.
